Someone inquires

  1. They hear back within the minute
  2. The lead lands in your CRM

A call is on your calendar

A client signs on

  1. Welcome, intake form, and portal access go out
  2. Outstanding documents get chased until they arrive

Onboarding done without six emails

A date is coming up

  1. Renewals, filings, and follow-ups are tracked
  2. Notice goes out early enough to act on

Nothing depends on remembering

The problem

No matter your industry, the admin work is likely your biggest bottleneck. The time spent keeping the client journey flowing is real money that adds up quickly.

See it in your industry

Every small business runs on a layer of repetitive work nobody planned for. The same questions answered, the same details retyped, keeping track of dates. These are the parts that scale the worst and automate the best.

A small office with a desk and chair by a tall window, plants along the sill and desk, and framed prints and a clock on the walls.
  • The opportunity that went cold

Someone found you on a Saturday, filled in your form, and heard nothing back until Tuesday. By then they'd already spoken to whoever replied first.

  • Onboarding that takes six emails

Every new client means the same welcome note, the same intake form, and the same three reminders about documents they haven't sent yet.

  • The same details, typed three times

It goes into the CRM, then the calendar, then the accounting software. Someone has to do it, and occasionally someone gets it wrong.

  • Dates you're carrying in your head

Renewals, filings, and follow-ups that nothing tracks except you. Missing one is rarely a small problem.

What we automate

The five most common workflows found in professional services firms. Difficult to scale, seamless to automate.

Capture the work

01

Leads arrive from a form submission, phone call, referral, or in your inbox. They land in one place, qualified and routed, without anyone sorting them by hand.

  • Web forms, calls, and referrals in one pipeline
  • Qualified and routed to the right person
  • A record created before anyone touches it
  • The first reply out while they're still reading

Move the work forward

02

Handoffs stop being informal. When something changes hands, the task exists, it has an owner, and the next person already knows.

  • Tasks created and assigned automatically
  • Stage changes that trigger the next step
  • Internal notifications where your team already works
  • Escalation when something sits too long

Get what you need

03

The documents you're waiting on get requested, chased, and tracked, without you being the one who has to remember.

  • Requests that go out with an upload link attached
  • Reminders that escalate on their own schedule
  • Missing items tracked per client
  • Files filed where they belong on arrival

Keep people informed

04

Clients stop asking where things stand, because they already know. Your team stops writing the same update by hand.

  • Confirmations and next steps
  • Status updates as work moves
  • Appointment and deadline reminders
  • Recaps after a call, without writing them

Show what's happening

05

You can see the work: what came in, how fast it got answered, what's stuck, and what nobody followed up on.

  • A weekly summary that reaches you, not a dashboard you must open
  • Response times, tracked rather than assumed
  • Overdue and missing-item reports
  • Alerts when a stage starts backing up

We use tools you already pay for when they fit, and build something new when they don't. Neither one is the default answer.

Our process

Three ways to start

They run in order, and you can stop after the first one with a written plan in hand and owe us nothing.

  • The workflow audit

We map how work actually reaches you and moves through the firm, and audit what your existing software could already do. You get it written up: what's worth automating, what isn't worth touching, and what each piece would cost. Stop here if you want to. The plan is yours either way and you owe nothing further.

  • The automation sprint

We build the first set of workflows, usually the one or two costing you the most, in weeks rather than months. You review each piece as it works rather than waiting for one reveal at the end, so anything that doesn't fit gets caught while it's cheap to change.

  • The optimization retainer

Real use always surfaces something the plan missed. We stay on to adjust what's running, add workflows as they earn their place, and keep the reporting honest as the firm changes. Optional, and easy to stop.

Andrew Brower, founder of Kaveotech

Built by someone who has worked both sides of this

Kaveotech is run by Andrew Brower, who spent years selling payroll and HR systems to small businesses before moving into engineering and building the back-office software those businesses run on.

That's two sides of one problem: sitting with the owners and operations managers who described what their week actually looked like, then writing the systems that were meant to fix it. Both halves show up in how work gets scoped here.

So when you describe how your week actually goes, it's not a first introduction to the subject.
